Essential Duties and Responsibilities include the following. Other duties may be assigned. Welcomes on-site visitors, determines nature of business, and announces visitors to appropriate personnel. Answers incoming telephone calls from main line and determines purpose of callers, and forwards calls to appropriate personnel or department. Retrieves messages from Voice mail and forwards to appropriate personnel. Arranges and coordinates travel schedules and reservations and assists executives in preparing expense reports. Assist accounting in organizing, sorting & summarizing data for reports for analysis purpose. Conducts market research, and compiles and prepares statistical reports. Prepares outgoing mail and correspondence, including e-mail and faxes and overnight packages on a daily basis. Assist the Accounting department with sorting, folding and mailing of A/R invoices on a daily basis. Responsible with the reconciliation of the overnight package service billings weekly. Assist with sorting and mailing A/P checks and payroll checks as needed. Responsible for filing the A/P and A/R invoices for the accounting department on a two week period. Assembles and distributes monthly financial and operational reports. Makes copies and prepares company material upon request. Orders, receives and maintains supplies. Computer Skills To perform this job successfully, an individual should have working knowledge of Microsoft Outlook; Basic Internet Skills; Microsoft Excel Spreadsheet software and Microsoft Word Word Processing software. Candidate must be willing to be a team player and assume increased responsibilities. Accounting knowledge is helpful, but not necessary.
